Course Cancellations & Refunds

We understand that plans can change — life happens! At Community Medics, we’ll always do our best to be fair and flexible while keeping our courses sustainable for the community.
Our cancellation policy sets out how to rearrange, transfer, or cancel a booking, and what to do if we ever need to reschedule a course ourselves. 
If you can’t make your course date, just let us know as soon as possible at training@communitymedics.co.uk, we’ll do everything we can to help.

Below is our Training Course Cancellation Policy:

1. Purpose

​

This policy sets out how cancellations, transfers, and refunds are managed for training courses delivered by Community Medics. Our aim is to provide flexibility where possible, while ensuring that our community training remains sustainable and that venue, instructor, and resource costs are covered.

2. Learner or Organisation Cancellations

2.1 Individual Bookings

​

If you have booked a place on a course as an individual:

  • More than 14 days before the course – You may cancel your booking and receive a full refund or transfer to another date free of charge.

  • Between 7 and 14 days before the course – A 50% refund will be issued, or you may transfer to another available date (subject to space) with a £15 admin fee.

  • Less than 7 days before the course – No refund will be issued, but you may transfer your booking to another person at no additional cost.

2.2 Group / Organisation Bookings

​

If your organisation has booked a private or group course:

  • More than 21 days before the course – Full refund or date change available.

  • Between 14 and 21 days before the course – 50% refund or rebooking available with a £30 admin fee.

  • Less than 14 days before the course – No refund will be issued, as instructor and venue costs will already have been committed.

Substitutions of learners may be made at any time without charge, provided the replacement meets course entry requirements.

3. Non-Attendance

​

If a learner does not attend a booked course and has not informed us in advance, the full course fee remains payable and no refund will be issued.

4. Course Cancellations by Community Medics

​

While rare, Community Medics reserves the right to cancel or reschedule a course due to:

  • Low enrolment numbers

  • Trainer illness or emergency

  • Venue or equipment issues

  • Circumstances beyond our control (e.g. severe weather)

In these cases, learners will be offered:

  • A free transfer to a future course date, or

  • A full refund (including any deposit)

Community Medics is not liable for any additional costs incurred by learners (such as travel or accommodation).

5. Refunds

​

Approved refunds will be processed within 10 working days of confirmation.
Refunds will be made to the original payment method or to the paying organisation, as appropriate.

 

6. Exceptional Circumstances

​

We recognise that emergencies can happen. If you are unable to attend due to illness, bereavement, or other serious circumstances, please contact us as soon as possible at training@communitymedics.co.uk — we will always try to find a fair solution.
